Guidance on creating an account with FedEx and paying invoices for your outbound shipments.

Note: The Outbound Freight Program through Vantage Point Logistics is being retired. Existing account holders can find program information at VPL Outbound Freight Program

Create a New Account

To create a new account for shipping out packages and parcels via FedEx, download the FedEx Government New Account Request Form from UCSF Box, and email the completed form to FedEx at [email protected]

Payment Methods

Using a Procurement Card (P-Card) 

The preferred method to make payments to FedEx is using a departmental Procurement Card (P-Card).  

Using the BearBuy Payment Request Form 

If your department does not have a P-Card, users should submit the invoices using the BearBuy Payment Request Form

When submitting a Payment Request, please submit only one invoice per cart and enter the invoice number on the Payment Request Form exactly as it appears on your FedEx invoice. Otherwise, FedEx will not be able to apply the payment to your account. 

Follow the steps below: 

  • On the Payment Request Form, select the supplier FEDEX and activity type "Postage/Small Package Courier" 
  • Enter the invoice number in the "Supplier Inv #" field exactly as it appears on your FedEx invoice  
  • Example of a FedEx Invoice Number: 0-123-45678 (insert exactly as seen in invoice) 
  • Amount: Enter only current charges from the invoice (no past due charges) 

Account Management

Regardless of payment method used, individual FedEx account holders are responsible for managing invoice handling and payment.
