New Match Exception Auto Approval Enhancement Now Live in BearBuy
Vouchers can now be automatically approved once they are matched—even if they are already assigned to an approver.
Supply Chain Management (SCM) has integrated an automatic approval step for match exceptions into BearBuy. Vouchers pending match exception due to a purchase order (PO) being fully invoiced will now be automatically approved if a change order request is approved for the PO total amount to be increased.
What’s Changing
Vouchers created on or after March 27, 2026, that are pending match exception due to the PO being previously fully invoiced, will now be automatically approved. This applies as long as the voucher does not exceed the PO by more than 10 percent or $500 (whichever is less).
Vouchers created before March 27, 2026, that trigger this type of match exception must still be manually cleared by a Match Exception Handler prior to payment.
What This Means for You
With this new functionality:
- Eligible vouchers will be automatically approved.
- Approved vouchers will be recorded in the History tab with information of the approval.
Updated Resources
Materials on the SCM website have been updated to reflect the new process, including updated instructions for Change Order Requests and Match Exception Handlers.
The Match Exception Handler Training course was recently updated to reflect the new enhancement. (Current Match Exception Handlers are not required to retake the course, and their access will remain intact.)
