Overview

Instructions to transition document destruction services and accounts to Iron Mountain for safe, reliable document storage.

The Stericycle for Shred-it document destruction services contract will conclude on August 31, 2026. 

To avoid risk, Supply Chain Management encourages you to transition to Iron Mountain for safe, reliable document storage and secure document shredding services. University of California (UC) Office of the President has an established contract with Iron Mountain

Shredding Services

Secure disposal of data in paper form is the process of rendering it unreadable. Improper document disposal can contribute to data breaches, impact on privacy, and put regulatory compliance at risk. UCSF employees are responsible for properly disposing all forms of UCSF data at the end of its useful life at office, home, and clinical locations per the UC Records Retention Schedule

University of California Office of the President (UCOP) offers document shredding services through Iron Mountain for UCSF departments. Modest amounts of materials are shredded free of charge. 

Document shredding is essential in staying compliant with relevant state, federal, and global data privacy regulations, including the California Privacy Rights Act (CPRA).

Instructions to Set Up Shredding Services Account

The following information will help with the account transition to Iron Mountain:

  1. Is it a one-time or recurring shred?
    • If it is a one-time shred: Will you need bins dropped off or boxes of paper picked up? If yes, how many?
    • If it is a recurring shred: How often is service required (weekly, biweekly, monthly, every 8 weeks, or quarterly)? 
  2. How many bins will you need?
    1. If bins are needed, will you need a 65 Gal or 95 Gal bin?
    2. If boxes are needed, what are the box sizes?
    3. Are all boxes the same size?
  3.  Are bins or boxes needed on one floor or multiple floors?
    • If multiple floors: Is there a service or access elevator?
  4.  Are you looking for offsite (paper shredded at Iron Mountain facility) or onsite (mobile shred unit to shred paper at the location) service?
  5. What is the complete service address(es)?
  6. Any deadlines Iron Mountain should be aware of?

  • Blueprints

  • Magazines
  • Brochures
  • Mail—including window envelopes
  • Photographs
  • File folders—any color
  • No need to remove staples, paper clips, rubber bands or small binders

What Doesn't Go In A Shred Bin++

  • Paper Exceptions
    • Cardboard
    • Telephone books
    • Hard cover books
  • Plastics^^
    • Plastic bags and packing material
    • Computer discs, CDs, DVDs
    • Backup and VCR tapes
    • Transparencies
    • ID badges and driver’s licenses
    • Microfiche and Microfilm
    • X-rays
  • Batteries (no batteries of any kind)
  • Hardware^^
    • Computer parts
    • Printer and photocopier parts
    • Trash or Hazardous materials
  • Metals (including binders, hanging folders, large clips)
  • Biohazardous and Medical Waste (including needles and sharps)

++These guidelines apply to all Iron Mountain containers, bins, consoles and other receptacles.
^^Iron Mountain can provide secure destruction and recycling of these materials. However, we require that the items be collected separately from the paper-based materials.
