Book Rental Car

Before booking, review the current maximum daily expense caps and allowable/unallowable expenses for UCSF travelers. All current rates and allowables are listed here.

Connexxus is the preferred method for booking rental cars. Connexxus offers discounted UC-contract prices for rental cars. All UCSF employees automatically have access to Connexxus. Access Connexxus through MyAccess.

The University of California (UC) Central Travel Office has a systemwide car rental program with Enterprise, Hertz, National, Dollar and Thrifty that offers business travelers the most economical pricing, including comprehensive insurance coverage for rentals within the United States (does NOT apply to personal rentals). When picking up a car, travelers should look for the following two items on the contract before driving off the lot: 

1. UC’s Campus Corporate Discount Program (CDP). If there is no campus designation printed on the contract, you may be paying a higher rate and will be responsible for any damage claims made by the rental company and/or a third party; 
2. Optional Services/Coverage (LDW/CDW/CSL/SLI) should show as DECLINED. Any purchase of additional insurance for rentals within the United States is not a reimbursable expense. 

Travelers renting internationally should contact their campus risk manager for advice and recommendations as each country has different laws and coverage requirements. 

All rental car expenses – itemized receipt showing car size, method of payment and zero balance. A credit card statement is NOT an acceptable receipt for car rental. Rental car agencies can typically provide a duplicate receipt, if you lost or misplaced the receipt. If you cannot obtain a duplicate receipt or an itemized original receipt is not available, please attach the Declaration of Missing Receipt Form to your expense report.

You may associate your existing car rental loyalty profile with the University of California using the rental car agency links in Connexxus to benefit from any potential loyalty benefits, such as waived annual fees or car upgrades

Rental cars booked through Connexxus offer business travelers the most economical pricing that includes comprehensive insurance coverage for rentals in the United States (through the car rental company).

Additional charges for insurance coverage will NOT be reimbursed if a non-contract agency is used, unless no contract car rental company in the area.

Additional coverage (such as collision damage waiver) is NOT reimbursable for rental vehicles in the contiguous United States (CONUS).

Travelers renting outside the USA may have to purchase additional insurance where coverage is not included in the UC rates. The cost of full collision coverage for rental cars used in Alaska, Hawaii, U.S. possessions (OCONUS) and foreign countries is reimbursable.
